Please take a few moments to carefully review the day of your event. Check our mileage and drive times to your venue and all the details of your event, the street addresses and times. If you see anything that could be a concern, let us know. There are a lot of moving parts to this project and the more people that carefully check the details, the less likely it will be to discover a problem the day of an event. Keep in mind the roads, weather, traffic and possible weather problems. Thanks for your help. If you have not uploaded or emailed your venue photos, now would be a great time to take care of it. We need to take a look and make sure there aren’t any surprises when we arrive. In your Google drive you will find maps and some photos we have downloaded from Google maps and MapQuest. Marketing and publicity are very important. Make sure ArrowTour is included on your 1. Lodge and council calendar and web pages 2. On all your social media 3. In your lodge and council E-newsletters 4. Handouts at lodge, council and district events and meetings 5. Announcements everywhere people are gathered Don’t forget word of mouth to Arrowmen, Scouters, family and friends. Please check your Google drive and check things off the list that are done. If you have completed some items and we haven’t noticed, let us know. Some items that continue to need your attention: 1. Keep the contact list on the Google drive up to date 2. Add the names of your 20 local staff 3. Post the photos of the venue or email them to us 4. Fill in the local enhancements form as you plan your event 5. Marketing and publicity 6. Make sure your local ArrowTour committee is energized and communicating on a regular basis 7. Ask any questions you have at atweststaff@western.oa-bsa.org I will email the primary contact in each of our host councils asking for one cell phone number we can call the morning of our event, someone that will be at the event venue when we arrive and someone that can deal with complications in our travel schedule and delays in our arrival time should they occure. Keep working on the 20 local staff members until you have put the names of all 20 on the Google drive. Remember they don’t have to be Arrowmen. They can be youth and adults that are willing and able to unload the truck and set up and run the production. Continue to think about providing food for your local staff and if possible, our ArrowTour Road Crew. We pause for a moment and call to mind all the men and women who have died in the service of our nation since 1776. Bless all who have given their lives for the sake of liberty, and grant them eternal rest with you. We remember also our brave men and women now serving in our Armed Forces, both at home and abroad.
